Terms of Service
These terms apply to all bookings and services provided by Retro Active.
Bookings
All appointments are booked through our online calendar or by direct arrangement with Retro Active. Requested times are confirmed in writing.
Payments
Payment is due at or before the time of service unless a separate invoice arrangement has been made with a community partner. All invoices are due upon receipt. If payment is not received by the invoice due date, a $10 late fee will be added for each calendar day the invoice remains unpaid, subject to the maximum amount permitted by applicable law. If payment remains outstanding for 15 calendar days, Retro Active LLC may suspend all future classes and bookings until the complete balance, including applicable late fees, is paid.
Travel Fees
Travel is included within Hamilton County. Appointments outside Hamilton County may incur a travel fee as listed on our Travel Policy page. All travel fees are approved before the appointment is confirmed.
Weather
Retro Active reserves the right to postpone services when travel conditions are unsafe. Weather-related cancellations may be rescheduled without penalty.
Late Arrivals
Sessions begin at the scheduled time. Late arrivals will still end at the originally scheduled end time.
Client Responsibilities
Clients agree to provide accurate participant information, a safe space for programming, and prompt communication about changes.
Photography & Video
Retro Active may take photos and short videos during sessions to document activities and share the joy of our programming on our website and social media. Participants or families may opt out at any time by letting us know, and we will exclude them from any media. We never share names, health information, or identifying details.
Refunds
Fees for services rendered are non-refundable. Cancellations made with at least 48 hours' notice are eligible for rescheduling at no charge.
Liability
Participants take part voluntarily. Retro Active instructors are not medical providers. By booking, clients agree to release Retro Active from liability except where prohibited by law.
